How to configure InPost (INPOST) in techSHIP

This guide explains how to add and configure this carrier connection, review its available carrier-specific settings, and understand the shipment requirements and operational constraints that apply.

Carrier Requirements and Specifications

This section summarizes onboarding requirements and lists confirmed carrier-specific constraints.

Onboarding Requirements

The InPost integration supports:

  • Return Labels, through separate return shipments

  • Label References

  • Signature Required, through the Proof of delivery accessorial

Information to be Provided

The following credentials and data points are mandatory to connect to InPost. Ensure you have these items available before starting the setup:

Request the credentials from the InPost Integration Team for the environment you will use, with access to shipment and return operations.

Organization ID

Obtain the identifier for your InPost organization from your InPost integration contact.

Sender details

Your shipping operation: sender name, company, shipping address, country, phone number, and email address.

Specifications and Constraints

Operational Details

InPost supports small parcel shipping for domestic, regional, and international routes covered by this integration, including Great Britain, Northern Ireland, and the Channel Islands. Forward shipments can use To Door delivery or an InPost locker or pickup point.

Each package in a techSHIP order is processed as a separate InPost shipment. InPost does not return shipping rates or shipment charges through this integration.

  • Northern Ireland: Great Britain-to-Northern Ireland shipments require customs information even though both addresses use country code GB. Keep the Northern Ireland destination's correct BT postcode.

  • Channel Islands: Use country code JE for Jersey or GG for Guernsey and provide customs information. DDU is the supported Incoterm.

  • Customs line items: For routes requiring customs, provide a description, HS code, and currency for each line. Use whole-unit quantities, one currency per package, and no more than 100 customs lines per package.

  • Carrier cancellation: Voiding an order in techSHIP does not cancel the shipment with InPost. Do not treat a local Void result as confirmation that the carrier label has been canceled.

Configuring a Baseline Account

A Baseline Account serves as the fundamental connection point between techSHIP and the carrier's system. It acts as a template that holds the credentials and fundamental properties required to process shipments.

The techSHIP AI Assistant is available from the Carrier page for supported Carrier configuration tasks. For detailed conceptual information and advanced configuration, refer to techSHIP AI Assistant: Overview & Availability [Information].

Adding a Carrier

Before adding an account, you must ensure the Carrier entity is available for your location.

  1. Click My Carriers from the left menu under the Carriers category.

  2. Click Add Carrier.

  3. Select the desired Carrier.

You may encounter additional messages depending on the carrier status or your plan:

  • Subscription Required (⭐): If the carrier has a star icon, you will see a message stating "To use this carrier, a subscription upgrade is required." Press Contact to Upgrade to proceed.

  • Carrier Suspended: If the carrier has not been used for an extended period, you will see a message stating “This carrier is currently on hold...” Click Request Assistance to reactivate it.

  • Setup Fee Waived: If a carrier from the same carrier group is already installed in your location, you can add this carrier without incurring additional fees.

  1. If needed, update the carrier Name.

  2. Click Add Carrier. Once the Carrier is added, you will be automatically redirected to the Carrier page to continue setting it up.

  3. Enter the Code of the Carrier as it appears in your host system.

The Code of the Carrier must match exactly the value defined in the host system. Any discrepancy (including casing or extra spaces) may prevent the carrier from working correctly.

  1. Click Save.

If your facility utilizes the centralized Pickup Schedule, we highly recommend adding this new carrier to your calendar now. While not required to process labels, this ensures accurate induction metrics for your Insights dashboards. Adding a Baseline Account

From the Carrier page, click Add Account to create a new Baseline Account.

You will be redirected to the Baseline Account page to complete the setup.

Entering incorrect values will prevent the system from generating shipping labels.

General Tab

In the General tab, define the administrative properties:

  • Name: Enter a descriptive name for the account.

Ensure to enter a descriptive name based on unique properties. E.g.:

  • Carrier Name - Account Number (CarrierX - 123456789)

  • Carrier Name - Consolidator Name (CarrierY - MyConsolidator)

  • Carrier Name

  • Usage: Select the most suitable option:

    • Test: Used for sandbox or onboarding purposes.

    • Production: Used for live shipping.

Keep the Status field set to its default Active value. An account must be Active to remain fully editable. For detailed conceptual information on account statuses, refer to How to Inactivate and Activate a Carrier Baseline Account [Step-by-Step Guide].

InPost credentials

In the Baseline Account, complete the InPost credentials section:

  • Client ID: Enter the InPost client identifier.

  • Client Secret: Enter the corresponding InPost client secret.

  • Organization ID: Enter the InPost organization identifier used for your shipments.

Use credentials for the account's selected environment. Test accounts connect to InPost's stage environment; production accounts connect to its production environment.

Sender address

In the Baseline Account's Sender address section, enter the Sender name, Sender company, Address 1, City, Zip, Country, Phone, and Email. Complete the additional address lines and State/province when applicable.

InPost requires the sender's name, phone number, and email address when processing forward shipments.

Labels

Forward labels: Supported formats are PDF, ZPL, and PNG. PDF labels are available in A4 and A6. PNG output uses techSHIP's conversion of the carrier's ZPL label.

For forward PDF labels, the Baseline Account's label stock selections Default, 6 × 4, 100 × 150, and 105 × 148 produce A6 output; 210 × 297 produces A4 output. Other PDF stock sizes are rejected before shipment creation.

For ZPL labels, set ZPL printer DPI in the Baseline Account's InPost credentials section to 203 or 300, matching your printer.

Return labels: Use PDF. InPost return labels are A4 only; ZPL and PNG are not supported for returns.

Label References: InPost uses one reference. Configure Reference 1 in the Client Account's label reference settings. If it is empty, the integration uses the first nonempty value from Reference 2, Reference 3, or Reference 4; if all are empty, it uses the techSHIP order ID. The four visible fields do not produce four separate InPost references.

Finalizing the Setup

Once you have entered the required information, click Save.

From the Carrier page, you can now see the Baseline Account listed with the status Active.

The Baseline Account is now connected. To start shipping, you must assign this connection to a specific Client by creating an Account as described below.

Configuring a Client Account

Adding an Account

Before adding a Client Account, ensure that the Client has been created. For instructions creating a Client, see: How to create a Client profile [Step-by-Step guide].

  1. Click Clients from the left menu under the Clients section.

  2. Click the Edit icon for the desired Client.

  3. Click Add Accounts.

  4. Optionally, use the Search box to search by Baseline Account Name or Carrier.

  5. Select the Baseline Accounts that will serve as the foundation for your new Client Accounts.

  6. Click Add Accounts.

    A toast notification will confirm the accounts were successfully assigned. Click the Refresh icon if recently added accounts are not displayed.

  1. Click Edit on each newly created account.

  2. Configure the available options in each tab (except Carrier).

Setup

In the Client Account, select Default in Service. This corresponds to service code DEFAULT. Shipment priority is configured on the order.

Customs defaults

In the Client Account's Customs defaults section, configure the values to use when the corresponding order fields are empty:

  • Currency: The currency used when an order or customs line does not provide its own currency.

  • Incoterm: Select DDU for applicable customs shipments.

  • Export reason: Select the reason applicable to the client's shipments.

  • Sender EORI: Enter the sender's EORI number when applicable.

Order-level customs values take precedence over these defaults. A currency supplied on an individual customs line takes precedence over the order or Client Account currency.

Sender address

Use Override sender address in the Client Account's Sender address section when the client ships from a different address. Complete the sender name, company, address, country, phone number, and email for that location.

Without a sender-address override, the Baseline Account supplies the sender address. An order-level ship-from override takes precedence over the account settings.

Specifying Rate Shopping Service Codes

Rate Shopping is not supported by the InPost integration. Select the InPost account and Default service directly when processing shipments.

Finalizing the Setup

Once you have entered the required information, click Save.

With the account configured and requirements verified, you can now proceed to process orders as described below.

Configuring an Order

The steps described in this section are not required for carrier setup, and they are offered as an optional review if further order-level configuration is required.

Follow the UI Navigation steps in How to Edit an Order [Step-by-Step guide], using the carrier-specific values provided in this guide.

Shipping options

When editing an Order, configure the applicable fields in Shipping options:

  • Service: Select Default.

  • InPost destination point ID: Enter the destination's InPost point identifier for locker or pickup-point delivery. Leave it empty for To Door delivery using the order's destination address.

  • Priority: Select Standard or Express when requesting shipment priority.

  • Proof of delivery accessorial: Select this option to request InPost's proof-of-delivery accessorial. It does not retrieve a proof-of-delivery document.

Provide the recipient's name, phone number, email address, and country. For To Door delivery, also provide the street address, city, and postal code. Keep the destination address accurate for customs classification when using a pickup point.

These delivery-point, priority, and proof-of-delivery options apply to forward shipments.

Customs

In the Order's Customs section, enter shipment-specific values when needed:

  • Currency, Incoterm, Export reason, and Sender EORI: Supply values that differ from the Client Account defaults or complete values not configured there.

  • Invoice number and Invoice date: Enter the applicable invoice details. The invoice date is used only when an invoice number is provided.

  • Commercial invoice shipping cost: Enter the shipping cost to declare for customs. When supplied, the amount is divided across the order's packages, with a minimum of 1 in the declared currency per package. This can make the combined declared amount higher than the value entered.

Click Save to apply the order-level changes. After the Order is updated, continue with the standard shipping workflow.

Troubleshooting

  • Authentication failure: Check Client ID and Client Secret in the Baseline Account's InPost credentials section. Confirm with InPost that the credentials belong to the selected environment and have access to shipment and return operations.

  • Organization ID missing: Complete Organization ID in the Baseline Account. The integration requires it to create shipments and retrieve labels.

  • Sender or recipient details rejected: Review the contact named in the processing error. Supply its name, phone number, and email address. If Override sender address or an order-level ship-from override is enabled, correct the details at that location.

  • Pickup-point delivery rejected: Check the Order's InPost destination point ID and destination country against the intended InPost location. For To Door delivery, clear the point ID and complete the destination street, city, and postal code.

  • Customs validation failure: Review the affected package's line items for missing descriptions, HS codes, or currencies, mixed currencies, fractional quantities, or more than 100 lines. Check the order's Currency or the Client Account's Customs defaults when a fallback currency is needed.

  • PDF stock or return format rejected: Check the Baseline Account's label configuration against the supported formats and sizes in Labels above. Use PDF for return shipments.

  • Shipping cost differs from the entered value: Review Commercial invoice shipping cost on the Order and the number of packages. The integration applies the minimum separately to each package; changing an imported WMS shipping-and-handling value does not change this customs field.
